How we handle your details.

Who we are
Hive DynamicX (ABN 22 696 850 209) is a small web studio in Sydney, New South Wales, run by its two founders, Nathan and Rumman. You can reach us at enquiries@hivedynamicx.com.
What we collect
- From our website form: your name, email address, business name, website, the plan or free audit you’re asking about, your type of business and anything you add in the message box.
- About your business, from public sources: to prepare a free audit we look at your business’s public website and how it appears in Google search. We don’t look at private accounts.
- For outreach: business email addresses that a business has clearly published on its own website, and the page each one came from. See “Outreach emails” below.
- Replies and enquiries: if you reply to one of our emails or write to us, we keep your message and your email address.
- If you become a client: the details we need to deliver and bill your plan. Card and bank details are entered with our payment provider, Stripe, and we never see full card numbers.
If you run a health practice, please don’t send us any patient or health information.
Why we collect it
We use your details to prepare the free audit you asked for, to reply to your enquiry, to provide and bill the services you choose, to send the outreach emails described below, and to meet our tax and legal obligations. No law requires you to give us these details, but without them we can’t prepare your audit or reply to you.
Outreach emails
We sometimes email Australian businesses to offer a new website. We only use a business email address that the business has conspicuously published on its own website. We keep that address and the page it came from.
- We send one offer email about the business’s website, and at most one follow-up.
- We never guess, buy or look up email addresses.
- We never sell, rent or share our lists.
- We keep replies to our emails so we can respond and honour opt-outs.
Opting out
Our emails don’t have an unsubscribe link. To opt out, reply “no thanks” (or “unsubscribe”) to any of our emails, or email enquiries@hivedynamicx.com. We stop within 5 business days, and in practice much faster. We keep your address on a suppression list so we never contact it again.
Where your details are kept
Our records are kept in our own database, on a computer we control in Australia. It can only be reached over a private network.
Who we share it with
We don’t sell your details. We use a few service providers to run the business, and they handle your details only to provide their service to us:
- Google Workspace: our email (United States).
- Composio: connects our systems to our email (United States).
- OpenAI and Anthropic: AI tools that help us draft and process emails and audits. They see business details and the text of replies (United States). Nathan or Rumman approves every batch of outreach emails and checks every audit before it’s sent.
- Telegram: our internal approval messages, which can show the recipients of an email (United Arab Emirates and other countries).
- Cloudflare: DNS for our email domains (United States).
- Backblaze B2: encrypted backups of our records (United States or Europe).
- Stripe: payments and invoices for clients.
- Hostinger: hosts this website and receives the website form.
Some of these providers store or process information outside Australia. We only use providers we expect to protect it, and we give them only what they need to do their job.
Keeping your details
We keep opt-out and suppression records and our send records for as long as we need to prove we followed the law and to avoid contacting you again. We keep replies and enquiries for about 2 years. We delete mail that has nothing to do with us after 30 days. Encrypted backups roll off within about 12 months. We keep client and tax records for as long as the law requires.
Seeing and correcting your details
You can ask to see or correct the details we hold, or ask us to delete them, by emailing enquiries@hivedynamicx.com. We’ll reply within 30 days.
Questions or complaints
Email us first and we’ll do our best to sort it out. If you’re not satisfied with our answer, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
